The system was implemented for the
purposes of managing documentation from project inception to project
completion.

A step by step procedure is as
follows:
|
|
1. An EDMS representative from each
department is assigned to scan only specific pertinent project
documents for each & every project on a daily basis. All other
project documents are to be filed by existing hard copy filing
procedures.
|
|
2. Projects are identified by account nos., building nos. and/or
building names for data entry indexing.
|
|
3. Documents are to be categorized
by specific existing department filing systems.
|
|
4. Upon project completion, scanned information to be downloaded onto CD's and stored in Print Room for
immediate access.
|
5. Additional CD burned and
archived at Alexander Library for off-site security.
|
|
6. Upon project completion, hard copy file (unscanned ancillary documents) to be boxed, labeled and
transmitted to Document Management.
|
|
7. Document Management to number
box, identify contents and store in appropriate warehouse location
indicating box attributes and retention schedule on electronic
document storage log.
|
|
|
|
