Electronic Document Management System (EDMS)
 

Document scanning & document storage operational procedure

The system was implemented for the purposes of managing documentation from project inception to project completion.
 

A step by step procedure is as follows:
 

1. An EDMS  representative  from each department  is  assigned to scan only specific pertinent project documents for each & every  project on a daily basis. All other project documents are to be filed by existing hard copy filing procedures.
 

 2. Projects  are  identified  by  account  nos.,  building  nos. and/or building names for data entry indexing.
 

3. Documents are to be categorized by specific existing department filing systems.
 

4. Upon  project  completion, scanned  information to be downloaded  onto  CD's  and stored in Print Room for immediate access.
 

5. Additional CD burned and archived at Alexander Library for off-site security.
 

6. Upon  project  completion,  hard  copy  file   (unscanned ancillary documents)  to  be boxed, labeled and transmitted to Document Management.
 

7. Document  Management  to  number box, identify contents and store in appropriate warehouse location indicating  box attributes and retention schedule on electronic document storage log.
